Welcome, Market Vendors!

We invite you to join us at the Oasis Fun Fest. We’re seeking vendors that will provide an interactive, fun, engaging, or educational experience for festival guests while showcasing your company’s products and services. This event is also a great corporate volunteer day opportunity for employees.

PLEASE READ CAREFULLY. The Market Vendor Agreement (“Agreement”) and Vendor Application (“Application”) below will be enforced to ensure the best possible, profitable participation for all vendors. By submitting the application below, you acknowledge that you have read and agree to the ‘Market Vendor Agreement.’

ALL business logos must be submitted at the time of registration. IF LOGOS ARE RECEIVED AFTER THE DEADLINE, OASIS FUN FEST cannot guarantee logo placement on any print material. Booth Opportunities:

  • Space: 10’ x 10’
  • Signage: 10’ x 2’ banner with booth name
  • Reserved parking and staff admission credentials PLUS one ride wristband to festival
  • On-site security throughout the event
  • Opportunity to sell signature menu items
  • Opportunity to promote your company on-site with coupons, promotional materials, and branded uniformed employees
  • Community outreach partnership through volunteer opportunities for your employees

Booth Cost:

  • Market Vendor rate – $100
  • Nonprofit Market Vendor rate – $75

Note: your space will not be secured until full payment is received.

Additional Booth Fees:

  • Electricity– Starting at $75 and dependent upon the amount needed. All electrical needs are arranged on an individual basis with Oasis Fun Fest coordinators BEFORE the festival.If no power is indicated in advance, you will not receive power upon request at the event.

MARKET VENDOR AGREEMENT

OASIS FUN FEST – September 2, 2023

ENTITLEMENTS

  1. The Booth Space consists of:
  • 10′ x 10′ operational space(Vendor/purchaser provides tent and furnishings)
  • Roving on-site security provided throughout the event, including during setup and breakdown
  • Opportunity to sell signature items
  • Opportunity to promote your company on-site with coupons, promotional materials, and name-identified uniformed employees
  • On-site setup begins between the hours of 7:30 a.m. to 8:45 a.m. on Saturday, September 2, 2023
  1. The vendor agrees to provide all operational equipment (i.e. tents, displays, tables, and chairs).
  2. The vendor agrees to the assigned booth location determined by the OASIS FUN FEST. The booth location and fee are non-transferable.
  3. The vendor agrees to arrange all electrical needs through the OASIS FUN FEST and agrees to submit full payment of all electrical costs with the application and initial payment.
  4. The vendor agrees that all booth decorations must be tasteful, reflect the theme of the individual vendor, be flame retardant, meet all fire code regulations, and stay within the boundaries of the allotted booth space.
  5. The vendor agrees to sell only material souvenirs and not food or beverage items.
  6. The vendor agrees to behave professionally or will be dismissed from the festival grounds without a refund. Any vendor suspected of alcohol or drug usage during the Oasis Fun Fest will be dismissed from the Oasis Fun Fest without a refund.
  7. The vendor agrees not to damage event location property in any way (i.e. nails, staples, paint, etc.) and agrees to pay for any damages therein determined by event coordinators.
  8. Vendors agree to set up and sell only in the assigned booth space. Any set-up outside the 10′ x 10′ allotted space will incur an additional booth space fee. The booth space must operate during all hours of the OASIS FUN FEST, and vendors may not leave before the close of the festival. Roaming the site or selling from multiple locations within the festival site is prohibited and could result in removal from the event with no refund.
  9. The vendor understands that no payroll or employment taxes of any kind shall be withheld or paid with respect to the OASIS FUN FEST. Additionally, no worker’s compensation insurance or liability insurance will be provided to the Market Vendor. Market Vendor assumes all risk and liability associated with any outdoor event, including theft and inclement weather of any type. In the event of cancellation of the OASIS FUN FEST, any fees paid to the event will not be refunded and will become donated to the “Stock the Classroom” Initiative.

ACCEPTANCE
Applicants will be notified of their acceptance status on or before August 28, 2023. Applicants who are accepted will receive an agreement and an information packet containing vendor staff credentials and parking passes.

 

INSTALLATION OF EXHIBITS
Load-in for all Vendors will be as follows:

  • Between the hours of 7:30 a.m. to 8:45 a.m. on Saturday, September 2, 2023.
  • All Vendors MUST BE completely set up by 9:45 a.m. on Saturday, September 2, 2023.
  • The hours of operation will be Saturday, September 2, 2023, from 10 a.m. – 3 p.m.
  • Load-out will commence after 4 p.m. on September 2, 2023, when the park has cleared. Loading out with a vehicle may only begin when the crowd has cleared, and OASIS FUN FEST gives the Vendor express permission. Any items unclaimed by the Vendor as of 5 p.m. on the day after the event shall become the property of Oasis Christian Center.

SPACE ASSIGNMENTS
Oasis Fun Fest has complete control of event diagrams and space assignments and reserves the right to modify event diagrams that are believed to be accurate but only warranted to be approximate. Further, OASIS FUN FEST reserves the right to assign space(s) in such a manner as it deems appropriate in its sole and absolute discretion, notwithstanding the foregoing.

ASSIGNMENT, SUBLETTING OF EVENT SPACE
No Vendor shall assign, sublet, or share the event space allotted to such Vendor without the knowledge and written consent of OASIS FUN FEST. No products, parts, accessories, or other goods, souvenirs, catalogs, etc., bearing names or other forms of advertising other than the Vendor may be displayed. No firm or organization not assigned event space shall be permitted to solicit business within the event areas.

USE OF SPACE
OASIS FUN FEST reserves the right to restrict Vendor exhibits which, because of safety, noise, method of operation, materials, or display, in the opinion of OASIS FUN FEST, may detract from the general character of the Event as a whole.  Accordingly, OASIS FUN FEST may, at its sole discretion, prohibit such exhibits from being kept or utilized by Vendor in or around the Event area, in which event the Vendor shall immediately remove such exhibits as directed by OASIS FUN FEST. OASIS FUN FEST reserves the right to prohibit any equipment deemed unsafe or unreasonable in OASIS FUN FEST’s judgment. All equipment and heavy machinery must be cleared and approved in writing and in advance by OASIS FUN FEST staff. All demonstrations or promotional activities must be confined within the limits of the Vendor Event Space. Demonstrations or activities that cause annoyance to neighboring Vendors, such as flashing lights or noise or obstruct walk space or prevent ready access to a nearby booth, will not be permitted.

CANCELLATION BY VENDORS

As occupancy of the Event space is the essence of the Agreement, no refunds shall be made in connection with any rental space fee after the acceptance of said fee by OASIS FUN FEST.

FORCE MAJEURE
The OASIS FUN FEST will take place rain or shine. Oasis Fun Fest shall not be liable for any cancellations, delays, or failures in performance due to circumstances beyond its control. In case of cancellation of the event or unavailability of the event space for specified use due to war, governmental action or order, the act of God including, but not limited to, weather, fire, strike, labor disputes, or any other cause beyond Oasis Fun Fest’s control, this agreement shall terminate, and the Vendor shall be entitled to the return of the Rental Space Fee for the event space less an amount equal to the total costs and expenses incurred by Oasis Fun Fest in connection with the preparation of Vendor’s event space. Refund of the Rental Space Fee (or a portion thereof, as applicable) as provided in this section, shall be the exclusive remedy of the Vendor against The Festival or its representatives, employees, agents, invitees, licensees, affiliates, and all other related parties in the case the Event is canceled or rescheduled, or the Event Space is unavailable for use. In case of damage to the Vendor through war, governmental action or order, the act of God, including, but not limited to, weather fire, strike, labor disputes, or any other cause beyond The Festival’s control, the Vendor expressly waives all liability and completely releases and holds harmless The Festival of and from any and all claims for damage to person and property and agrees that The Festival shall have no liability whatsoever.

INSURANCE AND LIABILITY
In no event shall OASIS FUN FEST, nor their representatives, contractors, nor corporate sponsors of the event be responsible for any injury, loss, or damage that may occur to the Vendor’s employees, agents, contractors, and representatives, or property from any cause whatsoever. The Vendor’s responsible for protecting machinery, perishables, and exhibits so that no injury will result to the public visitors, guests, persons, or property. If the property is not properly maintained, it will be promptly withdrawn from the event site. All property of the Vendor is understood to remain in Vendor’s care, custody, and control in transit to, from, or within the confines of the event area subject to the Rules and Regulations. On signing the Agreement, the Vendors expressly release, hold, keep, save harmless, and indemnify the foregoing persons and entities, named organizations and committees, and individuals from and against all claims for such a loss, damage, or injury. Vendors must carry appropriate insurance through such carriers and containing such limits, terms, and conditions as OASIS FUN FEST or event sites may require and shall deliver to OASIS FUN FEST copies of all such policies of insurance and/or certificates thereof as either OASIS FUN FEST or Event sites may request.

RULES AND REGULATIONS
Should Vendor fail to strictly adhere to and follow the Rules and Regulations set by OASIS FUN FEST, then Vendor shall be in default under this Agreement, and OASIS FUN FEST may immediately terminate this Agreement upon notice to Vendor. In the event of a default by the Vendor, the Vendor shall forfeit as liquidated damages the amount paid by him for his Event Space, regardless of whether or not OASIS FUN FEST enters into a further lease for the Event Space involved. Said damages are agreed to in no way constitute a penalty but rather a reasonable estimate of OASIS FUN FEST’s damages which are incalculable with any degree of certainty.

AMENDMENTS
OASIS FUN FEST reserves the right to change these rules (the “Rules and Regulations”) as seen fit.
